Exporting Estimates
The Export option in the File menu allows you to "export" one or more estimates from the database into a
text file in either of the following formats.
- Full Data Format: An internal format containing all estimate data, including calculation
results, that allows you to copy profiles from one PC to another (using Export, then
Import).
- Template Format: A delimited format or fixed column format that exports selected data from the
estimates, one record per profile. The data exported is determined by
templates that you set up to meet your particular needs. This format allows you to
transfer estimate data to another application or database, or to analyze estimate
data using a spreadsheet or database program.
To export estimates:
- Select the Export option in the File menu.
- Residential Estimator displays the Estimate Selection screen. Select one or more estimates to export:
- Use the Estimate Search Tabs at the bottom of the screen enter any appropriate selection criteria, and
click Find Now to display estimates matching the criteria.
- In the Estimate Listing Grid, click anywhere in the row of an estimate to select it. Then, Shift-click or Ctrl-click on the rows of additional estimates to select groups of estimates or
other individual estimates. You can also click Select All to select all estimates in the Estimate Listing Grid. Residential Estimator
highlights the estimates selected. If you wish to remove the highlighting from
an estimate, simply Ctrl-click on that estimate.
- Click the OK button to continue.
- Residential Estimator displays the Export Options screen. Enter or select each of the following:
- Export File Name: Enter the name of the file for the exported estimates (or click Browse to select an existing file). Enter only the file name itself. If you want
to change the folder containing the file (which displays directly below the file
name), use the Browse button.
- Append to Existing File: Check this check box if you want to append the archived estimates to an
existing file. If you do not check this check box and the archive file already
exists, Residential Estimator deletes all estimates in the file before starting this
archive.
- Format: Select one of the formats of the exported data, either Full Data or Template.
For the Template format, you must select the name of the template to use
(click the
button next to the template name to list all available templates). You can
click the Edit Template button to create a new template, or to see the data
items included in any existing template.
- Log File: During export, Residential Estimator writes messages to a log file, depending
on which of the following options you select for the log file:
- Append: Write messages to the log file, appending them to previously written messages
if the log file already exists.
- Overwrite: Write messages to the log file, overwriting any previously written messages if
the log file already exists. With this option, the only messages in the log
file when the export completes are the messages for this export.
- None: Do not write messages to a log file.
The log file itself is named ExportLog.txt, and is located in the folder
specified in the Options option of the Tools menu (typically the folder Temp in the Residential Estimator installation
folder).
- Click the Start button to continue.
- During the export, Residential Estimator displays the status at the bottom of
the Export Options screen, including the number of profiles it has exported and the number with
errors. At any time during the export, click the Pause button to pause the export. Select one of the following options, then click
the OK button to continue:
- Continue Export: Return to the export screen and continue the export.
- View Log: Use Word Pad to display the messages written to the log file so far.
- Stop Export: Return to the export screen, but cancel further exporting.
- When the export has finished, click the View Log button if there were errors in the export.
- Click the Close button to close the Export Options screen.
